National XR Day 2024

Call for Proposals

You can contribute to National XR Day on 3 July 2024 at the University of Twente in Enschede!

We aim for an event for and by the members of the SURF community, as a podium for the activities involving eXtended Reality at the 100+ education and research institutions in the Netherlands that make up the SURF cooperative. If we connect our realities, we can give XR the spotlight that it deserves!

We are looking forward to showing off effective, innovative and/or fascinating applications XR in education and research. Through this Call for Proposals you can submit an item for the programme.

The programme schedule consist of a plenary opening and keynote, a number of rounds with parallel sessions, followed by a plenary keynote and closing. Throughout the venue at the University of Twente there are (open) spaces for demos, with breakout rooms located close to the plenary room.

This call for proposals closes on Wednesday 3 April (end of day) (extended deadline)

You will receive feedback on your submission before 22 april 2024. The programme committee consists of members from SURF, University of Twente and Saxion, with members from the Npuls Pilothub XR for the education track specifically.

Theme

The theme of this year's edition is Connecting Realities. Let us together explore frontiers and connect!

We aim for tracks on education, research, technology & development, healthcare and public values.

Types of submissions

We accept the following submissions:

  • Presentations, either long (40 minutes) or short (20 minutes), provide a platform to speakers to present and discuss a wide variety of topics.

  • Workshops, either long (90 minutes) or short (60 minutes) are interactive sessions that really engage the audience, and so are not just a long form of presentation. Examples of workshops are a hands-on introduction to a technical XR topic, a brainstorm session or a group discussion. Participants can register for workshops in advance on the day of the event itself, and availability is on a first-come-first-serve basis (full is full).

  • Demonstrations are provided throughout the day in selected time slots of the programme. With a demonstration you can let the event participants experience your (prototype) XR application, education use case or research. This is usually the best way to have the audience understand what a particular XR usage is about, especially for those not (very) familiar with XR technology and its applications. We provide demo spaces of 3x3m and 5x5m open space. Smaller spaces for seated XR experiences are also possible.

  • Posters: present your initiative or project via an A0-sized poster and briefly explain it during the lunch and network break.

Audience and scope

Submissions should match the subject of XR for education and research, and preferably target a broad audience. Based on experiences with the 2023 edition we expect participants of National XR Day 2024 to be a mix of different roles and backgrounds, such as researchers, educators, project leads, XR developers, IT support staff and innovators. The audience will also come from the different sectors of the SURF community: mbo, hbo, wo, umc and research+.

Language

The default language for the event (and CfP submissions) is English. However, we provide the option for contributing in Dutch when preferred.

Topics

A (non-exhaustive) list of topics that fit National XR Day:

  • Use cases or applications of XR in education
  • Use of XR as a research tool
  • Research on novel XR forms or technologies that can be useful for the SURF community
  • Practical aspects of implementing XR in an education/research setting
  • Policy aspects related to the use of XR, regarding privacy, security, inclusivity, etc.
  • Creative & artistic use of XR
  • XR projects by members of the SURF community involving external parties
  • Calls to action that target the SURF community

Photo and video registration during the event

During National XR Day we will use photography and video equipment to register the event. Your presentation, workshop or demo therefore may be photographed or filmed. The resulting material may be used (for example) online in a retrospective of the event, an aftermovie, or to promote future SURF events.

In case you do not want to appear on photos or in videos you can indicate this to the organization during National XR Day.

Privacy Policy Statement

This Pretalx server is maintained and hosted under the dutiful supervision of SURF, located within a Dutch SURF data center. Any information you provide within this system will be treated with utmost confidentiality. Furthermore, to comply with privacy regulations and ensure your personal security, all personal data will be completely removed from our system 90 days following the conclusion of the event.

  • The personal information associated with your submission will be visible to the programme committee members
  • In case your submission is chosen for the National XR Day programme your associated personal information, such as speaker name and affiliation, can be published as part of the programme.
